The Bookkeeper Portal gives your bookkeepers and data-entry staff their own restricted login. They see only the filing tasks you assign them, they work those tasks in a clean, focused portal, and their access to a client follows the work. No staff seat used, no full run of the practice exposed.

No client list. No firm-wide dashboards. Just the tasks assigned to this person, and the clients behind them.
How It Works
From the Bookkeepers admin page, create a login for each bookkeeper or data-entry person. Deactivate or reset a password any time. They never take a staff seat.
Bookkeepers show up in the filing-step assignee picker, right alongside your staff. Assign a task, and that is the whole grant. There is no separate give this person client X step.
They can now open just the clients behind their tasks. When the filing is filed or cancelled, or the task moves to someone else, that access falls away on its own.
What They Can Do
Bookkeepers land on a simple list of what is assigned, due soon, and overdue. Everything they need to move a task forward is right there, without the weight of the full CRM.

There is no long list of permissions to maintain. A bookkeeper can open a client only when they hold an assigned task on an active filing for that client. On those clients they get read-only context so they have what they need to do the job.
A bookkeeper is not a scaled-down accountant. Their access is enforced on the server, so limits hold even outside the normal screens. They never touch the parts of the practice that are not theirs.
Two layers of enforcement
Not just a hidden button
Layer 1 · The portal boundary
Every bookkeeper request is checked against a strict allowlist. Anything outside the bookkeeper portal is refused, full stop.
Layer 2 · The scope check
Every client, filing, and task is re-checked against their assignments on the way in, so they only ever load what the work grants them.

Questions
No. Bookkeeper logins never use a full staff seat. That is the whole idea: bring 20, 50, or 100 bookkeepers and data-entry staff onto the platform for one simple price instead of buying a per-seat license for each one. Contact us for current pricing.
Access follows the work. A bookkeeper can open a client only if they hold at least one filing task assigned to them on an active filing for that client. There is no separate grant step. When the filing is filed or cancelled, or the task is reassigned, that access is removed on its own. If the filing is reopened, it comes back.
They see a My Tasks list and a simple dashboard of assigned, due soon, and overdue. On each task they can update status, tick checklist items, log time, add comments, and mark it waiting. For their assigned clients they get read-only context: client info, filings, documents to view and download, and emails to read, plus a per-filing discussion thread they can post to.
They cannot file or cancel a filing, cannot send or delete documents or emails, and cannot assign work, set due dates, or reassign tasks. They only ever see clients tied to their own open tasks, never the full client list, and they are kept out of staff lists and reviewer and approver pickers. Every one of these limits is enforced on the server, not by hiding a button.
The Bookkeeper Portal builds on the Filing Steps workflow module, since that module produces the tasks bookkeepers work. Turn on Filing Steps, add the Bookkeeper Portal, and you are ready to assign work. Contact us for current pricing.
