Add your bookkeepers

From the Bookkeepers admin page, create a login for each bookkeeper or data-entry person. Deactivate or reset a password any time. They never take a staff seat.

Assign them filing tasks

Bookkeepers show up in the filing-step assignee picker, right alongside your staff. Assign a task, and that is the whole grant. There is no separate give this person client X step.

Access follows the work

They can now open just the clients behind their tasks. When the filing is filed or cancelled, or the task moves to someone else, that access falls away on its own.

Access that follows the work

There is no long list of permissions to maintain. A bookkeeper can open a client only when they hold an assigned task on an active filing for that client. On those clients they get read-only context so they have what they need to do the job.

  • View client info, filings, documents, and emails for their assigned clients.
  • Post to a per-filing discussion thread to ask a question or hand work back.
  • Access is removed the moment the filing is filed or cancelled, or the task is reassigned.

Locked down by design, enforced on the server

A bookkeeper is not a scaled-down accountant. Their access is enforced on the server, so limits hold even outside the normal screens. They never touch the parts of the practice that are not theirs.

  • Cannot file or cancel a filing.
  • Cannot send or delete documents or emails.
  • Cannot assign work, set due dates, or reassign tasks.
  • Never appear in staff lists or in reviewer and approver pickers.
  • Cannot reach another client, or another firm's data, by any route.

Do bookkeeper logins use a staff seat?

No. Bookkeeper logins never use a full staff seat. That is the whole idea: bring 20, 50, or 100 bookkeepers and data-entry staff onto the platform for one simple price instead of buying a per-seat license for each one. Contact us for current pricing.

How does a bookkeeper get access to a client?

Access follows the work. A bookkeeper can open a client only if they hold at least one filing task assigned to them on an active filing for that client. There is no separate grant step. When the filing is filed or cancelled, or the task is reassigned, that access is removed on its own. If the filing is reopened, it comes back.

What exactly can a bookkeeper do?

They see a My Tasks list and a simple dashboard of assigned, due soon, and overdue. On each task they can update status, tick checklist items, log time, add comments, and mark it waiting. For their assigned clients they get read-only context: client info, filings, documents to view and download, and emails to read, plus a per-filing discussion thread they can post to.

What can a bookkeeper not do?

They cannot file or cancel a filing, cannot send or delete documents or emails, and cannot assign work, set due dates, or reassign tasks. They only ever see clients tied to their own open tasks, never the full client list, and they are kept out of staff lists and reviewer and approver pickers. Every one of these limits is enforced on the server, not by hiding a button.
