An admin starts the connect

Connecting a mailbox is admin-only. From the email settings, an admin starts the connect for a staff member and marks it as that person's personal mailbox.

The owner signs in

The mailbox owner authenticates in the OAuth popup for Gmail or Outlook. For IMAP they use an app password. No one else can complete the sign-in for them.

Everything lands in one inbox

From then on the owner's personal mail and the shared firm mail flow into a single consolidated inbox. Personal mail stays private to them, from admins too.

Every compose and reply has a From-picker. Pick a shared firm mailbox when the note belongs to the team, or your own personal mailbox when it is just yours. When you have a personal mailbox, it is the default, so private stays private without a second thought.

  • Send as a shared mailbox or as your own personal mailbox, right from the composer.
  • Personal is the default the moment you have a mailbox of your own.
  • You can never send as someone else's personal mailbox.

Private mail is private, admins included

The rule is short and it holds for everyone. A user can see an email only if it is firm-wide, from a shared mailbox or a manual or system message, or if it is personal and owned by them. Admins manage the mailbox connection only. They cannot read personal inbox contents.

  • Personal client emails appear on that client's timeline, but only the owner sees them.
  • Personal mail cannot start a team collaboration thread. To loop in the team, forward it into the shared mailbox.
  • The same rule applies to admins. Managing a connection is not the same as reading the mail.

What are Personal Mailboxes?

Can my admin or teammates read my personal mail?

No. Personal mail is private to its owner, including from admins. Admins manage the mailbox connection only, they cannot read personal inbox contents. The rule is simple: a user can see an email only if it is firm-wide, from a shared mailbox or manual or system mail, or if it is personal and owned by them.

How do the shared and personal mailboxes show up together?
